Job description

We are seeking a highly organized and proactive Management Assistant to support MultiplexDX’s executive team in achieving organizational objectives. The ideal candidate will possess excellent communication skills, exceptional multitasking abilities, and a keen eye for detail. As a Management Assistant, you will play a pivotal role in facilitating efficient operations, managing administrative tasks, and providing high-level support to executives.

Responsibilities

  • Administrative Support: Provide comprehensive administrative support to executives, including scheduling appointments, managing calendars, coordinating meetings, and making travel arrangements.
  • Meeting support: Coordinate logistics for meetings, including room setup, agenda preparation, document distribution, and minute-taking, ensuring smooth and productive proceedings.
  • Communication Management: Serve as a primary point of contact for internal and external communications, including screening and prioritizing emails, phone calls, and other correspondence.
  • Document preparation: Prepare and edit documents, reports, presentations, and other materials as needed, ensuring accuracy, professionalism, and adherence to company standards.
  • Data Management: Maintain and organize electronic and physical files, databases, and records, ensuring easy access and confidentiality as necessary.
    Project coordination: Assist in the planning, execution, and monitoring of various projects and initiatives, including tracking progress, managing deadlines, and allocating resources effectively.
  • Analytical support:  Conduct research on various topics as assigned, gather relevant information, and present findings in a clear and concise manner to support decision-making processes.
  • Problem solving: Proactively identify challenges, propose solutions, and implement improvements to streamline processes and enhance efficiency.
    Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality in all aspects of work.

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field preferred.
  • Excellent written and oral communication skills in English (English is our working language, level C1 or higher proficiency is preferred).
  • Proven experience in an administrative or executive support role, preferably in a corporate environment advantage.
  • Strong proficiency in office productivity software (e.g., Microsoft Office Suite)
  • Exceptional organizational skills and attention to detail, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills, including professional phone etiquette.
  • Ability to work independently with minimal supervision and collaborate effectively in a team environment.
  • Flexibility and adaptability to manage multiple priorities and deadlines in a fast-paced environment.
  • Discretion and integrity when handling confidential information.
  • Positive attitude, proactive mindset, and willingness to take on new challenges.
